Job Description
About the Role:
EverAbility Group (including VisAbility Tasmania and Guide Dog Tasmania) is seeking a friendly, organised and proactive Senior Officer Facilities to be the first point of contact in our Hobart office and to coordinate day-to-day facilities, reception and administrative support across our Hobart and Launceston sites.
This varied role combines front-of-house reception with practical facilities coordination. You’ll provide excellent customer service to clients, donors, volunteers and visitors, support our low vision and fundraising retail operations, help keep the VisAbility Resource Centre equipment ready to use, and coordinate timely, cost-effective maintenance, safety and fleet activities across our Tasmanian offices.
This is a fixed-term full time position.
Key Responsibilities
Deliver prompt, courteous and confidential reception and customer service (in person, phone and email).
Manage office administration including mail, filing, data entry, document preparation (correspondences, memos, reports etc), scanning/copying and general coordination.
Support the VisAbility Low Vision Shop and Guide Dog Tasmania fundraising shop customer service as required.
Coordinate the EverAbility Resource Centre: keep equipment operational, maintain stock, and demonstrate equipment to clients by appointment.
Maintain quarterly building checks and coordinate repairs and planned maintenance for Hobart and Launceston offices (lights, plumbing, air conditioning, furniture and fittings).
Liaise with contractors and suppliers (e.g., cleaners) and follow through to completion, ensuring quality and value for money.
Support property management, security and safety activities and participate in Work Safety and Health meetings.
Coordinate the Tasmanian vehicle fleet (servicing, issues, replacements).
Assist with coordinating meetings, travel and events (including catering) and provide administrative support to People & Culture as needed (keys/cards/fobs and office set-up for new starters).
Assist with preparation and monitoring of the maintenance budget.
Perform other duties as reasonably required.
Desired Skills and Experience
About You
Required Skills
Highly developed interpersonal skills with a strong customer service ethic.
Excellent communication skills and telephone manner.
Confident with Microsoft Office and comfortable learning new systems.
Strong organisation skills and attention to detail; able to manage competing priorities.
Experience coordinating property/facilities maintenance, ideally across multiple sites.
Ability to negotiate effectively with suppliers/contractors and contribute to budget processes.
Proven ability to work effectively in a team environment.
Broad understanding of building maintenance and associated trades; familiarity with relevant local building regulations is desirable.
