VisAbility - our specialised service supporting people with low or no vision. 

Guide Dogs WA and Guide Dogs Tasmania – our iconic service raising and training life changing assistance dogs. 

Kites Children’s Therapy – our early intervention support, advice and solutions service transforming the lives of children and their families living with disability or developmental challenges. 

Job Description

Join EverAbility Group as an Intake Officer and play a key role in helping individuals begin their journey with our services.

Key Responsibilities

  • Provide accurate, respectful and timely customer service to all clients and stakeholders.
  • Act as the first point of contact for new clients, offering clear information on services and eligibility.
  • Monitor referrals and maintain intake waitlists to support efficient onboarding.
  • Record and update client information in Client Management Systems.
  • Liaise with referrers and stakeholders to facilitate client access to services.
  • Verify funding or payment arrangements before scheduling services (e.g., NDIS, HCP, private pay).
  • Monitor therapist availability & advise of waitlist times.
  • Respond promptly to communications related to new clients and general enquiries.
  • Maintain compliance with privacy, confidentiality and data protection requirements.
  • Contribute to continuous improvement by providing feedback on processes and workflows.
  • Escalate service delivery issues to the Team Leader.
  • Represent VisAbility at client-facing events and engagement activities as required.

Desired Skills and Experience

About you

Essential Skills

  • Experience in Microsoft Word, email and client database software.
  • Highly developed customer service skills.
  • Ability to maintain a high level of confidentiality and professionalism.
  • Demonstrate initiative, follow processes, take direction, and work without close supervision.
  • Well-developed interpersonal skills and an ability to work effectively in a team environment.
  • Excellent communication skills and telephone etiquette.
  • Ability to communicate with a diverse range of people.
  • Flexibility, resourcefulness and effective time and stress management.

Desirable skills

  • Certificate in Community Services, Disability Services or Administration.
  • Experience in a customer service role within disability, aged care, or a related field.
  • Experience working within the NDIS or Aged care environment.
  • Experience in Microsoft Word, email and client database.

Required Compliance Documentation

  • National Police Clearance
  • NDIS Worker Screening Check
  • Working with Children Check
