Job Description
Are you a highly organised, proactive, and detail-oriented professional seeking a dynamic role supporting executive leadership? As the Executive Assistant, you will work closely with our Chief Executive Officer (CEO) to manage their workload, prioritise tasks, and ensure the smooth operation of daily activities.
You’ll provide high-level administrative support and liaise with internal and external stakeholders across all levels.
Key responsibilities include, but are not limited to:
Providing comprehensive executive assistance to the CEO, including proactive diary management, scheduling, and coordination of meetings, appointments, and travel.
Monitoring emails and facilitating communication, ensuring a smooth flow of information with internal and external partners and providers.
Drafting, formating, and proofreading correspondence, presentations, reports, and briefing materials to a high professional standard, as directed by the CEO.
Assisting in preparing for and coordinating Executive and internal meetings: preparing and circulating agendas, taking minutes, tracking actions and organising logistics (e.g., catering, venues).
Coordinating communication with partner organisations, external providers, consultants, and key stakeholders to support effective information flow.
Supporting the CEO with external Board, committee, and sector engagements (logistics, scheduling, preparation of materials as directed).
Undertaking research and information gathering on behalf of the CEO to support decision-making and briefing needs.
Reconciling expense documentation.
Coordinating internal staff events, as required.
Supporting the Corporate Governance and Risk team with the Board and Committee document collation, board portal administration, minute taking and records management, as required.
Providing operational, and administrative support to the CEO and Executive Team.
Desired Skills and Experience
Essential:
Demonstrated experience providing executive assistance and high-level administrative support to senior leaders.
Proven ability to manage complex and sensitive administrative tasks with professionalism and discretion.
Exceptional organisational and time management skills, with the ability to prioritise competing demands and meet deadlines.
High-level written and verbal communication skills, including strong attention to detail and accuracy.
Advanced proficiency in Microsoft Office applications, including SharePoint, Outlook, Word, Excel, and PowerPoint.
Strong interpersonal skills, with the ability to build effective working relationships with internal and external stakeholders.
Demonstrated ability to work autonomously, anticipate needs, and exercise sound judgement.
High level of confidentiality, integrity, and professionalism.
Desirable:
Experience supporting a CEO or Executive in a not-for-profit, disability, aged care, or community services environment.
Experience organising events, meetings, or functions in a complex organisation.
Experience using document management or database systems.
Exposure to working with or supporting people with disability.
Required Compliance Documents:
National Police Clearance.
NDIS Worker Screening Check
Working with Vulnerable People (NDIS endorsed).
Valid Driver's Licence
